The job of planning weddings is great fun. However, as with any other job in this world it is not all plain sailing. Planning a wedding with the expectation that it will be a day to eclipse all others can take an unbelievable amount of time and effort, to say nothing of the stress and worry! There are ups and downs, periods of great joy and times of immense stress and pressure. Weddings are events that are dreamt about: some brides have imagined walking down the aisle in a pure white dress and a tiara for 30 years or more! It is certainly a challenge unlike any others you may have come across before. And when you add both work and a hectic, pre-wedding social life to the equation, often the feat seems monumental. It is an honour not to be taken lightly.

Why Use a Wedding Planner in Dubai – Nowadays, with so much to do and such relatively little time to do it, employing a professional wedding consultancy is increasingly seen as a sensible way of ensuring a stress-free engagement and potentially flawless wedding. In Dubai it is the norm: the majority of couples getting married use a Wedding Planner. It is a huge industry providing couples with an invaluable service during a period in their lives when stress and worry should be banished and time is of the essence.

Slowly but surely couples in the UK are waking up to the realisation that a Wedding Planners are not simply a luxury reserved for the rich and famous. Nowadays a good Consultant is just as familiar with organising a small and intimate family gathering of 12 as an extravagant party of 500 or more. Using their expert knowledge of the industry together with extensive databases and links to leading suppliers an established Wedding Planner will have the foundations on which to build a perfect wedding. They will give you unfettered access to every supplier in the country that fulfils your requirements. Unless otherwise instructed, their priorities lie solely with the couple, their wedding objectives and the all-important budget. And when you find a Consultant whom you trust and feel comfortable with, you may be sure that these elements will be managed wisely.

The very best Wedding Planners possess a diverse set of skills. They are extremely practical, versatile, knowledgeable and resourceful. It is their job to assist both the bride and groom in the run up to the Big Day. On the day itself, it is the Bride who is centre-stage, whilst the Wedding Planner works tirelessly in the background.

During the planning process they will bear the brunt of the daily chores. They will design, plan, coordinate and manage the event from behind the scenes, thereby giving couples valuable time to relax and enjoy their engagement and look forward to their dream wedding.

As with most wedding consultancies, we will usually start off by sitting down with the couple in order to learn exactly how the clients envisage their wedding day developing, from the moment they wake in the morning to the time they depart the party amid an explosion of fireworks at the end of the night. Although we often see the groom shying away from the initial planning process, we always try to encourage his input. It is vital to try to get him ‘on board’ as early as possible, for you can be sure that 2-3 months down the line – when many of the major decisions have been taken – he will begin to show an interest and realise that maybe this wedding lark isn’t as dull as he had at first expected! Regret is a terrible thing and something that we only learn about with hindsight!

Once the all-important Wedding Plan or Brief has been compiled, it is the Wedding Consultant’s job to start locating the suitable wedding venues, suppliers and wedding services. Naturally the wedding venue is the primary concern. Once this is shortlisted, inspected and booked, the other required wedding services and suppliers can be sourced and shortlisted for the client’s consideration. Although the Wedding Planner will source all venues and services and offer knowledgeable guidance and advice, the choice as to which companies to use will be decided by the couple. There should not be any pressure exerted by a Wedding Planner at this time. If it happens that you do feel pressured, one might assume that the Planner may be on commission from the said supplier, so be insistent and remind your Planner that their role is to assist, not to decide!

Once all the suppliers have been selected, the set designed, the budgets are met and timelines have been finalised, it is usual for the Planner to assist with the rehearsal and then oversee the wedding day to make sure the needs of the bride, groom and wedding party are met.

“Can I Justify the Added Luxury of a Wedding Consultant?” It can often be the case that a Wedding Planner can save you money. They can negotiate special discounts with the venue and other wedding services which will then be passed on to you. Alternatively, if a discount is not attainable, they can source you a venue or supplier that offers a high quality service at a competitive price.

Wedding Planning Fees – Price structures are set according to the couple’s needs and since every wedding is unique, it is often the case that so too are the Wedding Coordinator’s fees.

As a ‘rule of thumb’, for full coordination of the entire event one is usually charged a portion of the wedding budget. Percentages vary from consultancy to consultancy but are usually somewhere between 10-15%. Minimum fees are usually applicable.

A bride that requires a Coordinator to assist on the day itself is usually charged a set rate or an hourly fee. Again fees vary from company to company and sometimes from season to season. As an approximation, one would expect to pay upwards of £70.00 per hour for a reasonable Coordinator on the day of the wedding.

Alternatively, you will find that there are various packages for couples that have specific sourcing and/or contract negotiation needs. For this service you may be charged either a fixed rate or a percentage of the specific budget allocated to the said service. Again, fees fluctuate from Consultant to Consultant but ultimately the amount you pay will reflect the amount of time and effort spent dealing with your personal requirements. It will also depend upon how long the Consultant has been in business. Naturally those new to the industry have to charge lower fees in order to compete for business.

Other services you may find on offer include assistance in the 4 week run-up to the Big Day, thereby managing any last minute stresses and minor problems that so often arise. Alternatively Wedding Planners can manage the invitations and RSVPs or even source the wedding rings and honeymoon.

You will find that just about anything and everything is possible. You are only limited by your imagination and of course the budget! The first of which can be expanded under the guidance of your Wedding Planner, if you so wish. The latter should in most cases be firmly adhered to. However, we do advise you to allow yourself a backup allowance of up to 10% of the budget, to cover any unforeseen circumstances and situations along the way. The final finishing touches and last minute attention to detail can make the difference between an average wedding and an exceptional wedding and it is the finer details that are often overlooked if you are planning your own wedding.

Ordinarily, couples on tight budget don’t normally hire a wedding planner. However, when all is said and done, it may actually end up saving money as well as a number of headaches. In situations where the bride and groom to be never seem to have enough time on their hands due to work or other considerations, hiring a wedding planner may very well make sense. It could make sense for those who are simply overwhelmed by the entire process of finding vendors, interviewing them and then negotiating the best deal. In these type of situations, it very definitely can be worthwhile to bite the bullet and hire a planner. One of the keys to hiring a planner is to make the decision early on because you’ll end up getting more value for your dollar. While hiring a wedding planner may seem like an extravagance you can live without, they can be worth their weight in gold – not only in keeping your lives sane leading up to the wedding, but in saving you plenty with their negotiating skills.

Most wedding planners refer to themselves as just that – a wedding planner. However, some also refer to themselves as wedding consultants or wedding coordinators. Regardless of what they call themselves, most provide a full range of services. You can count on them for everything from a basic consultation to handling every detail of both your wedding and reception. What you get out of a planner will depend on what kind of wedding planner you hire. In general, you’ll find three different types of planners:

    1. One that provides a one time only initial consultation

This type of consultant will help you get your budget and time line set up. They’ll also provide tips for dealing with all of your vendors, along with recommendations for certain vendors they’ve had success with in the past. This type of wedding planner normally charge a flat one time fee – or perhaps an hourly fee. This is good because you’ll know up front what they are going to cost.

    2. One that provides you with partial planning services

This type of planner is normally brought in 2-3 weeks prior to your wedding to help with the myriad of details that need to be attended to and finalized. Some will only be on hand for the rehearsal and wedding – just to ensure that the festivities go off without a hitch. These type of wedding consultants usually bill by the hour, but some will do this work on a flat fee based on a set number of hours.

    3. A full service planner who works with you from start to finish

This type of wedding planner will become an integral part of your wedding. They will get you know you very well. They will know your tastes and needs and will work with you to create a budget and time line. As they get to know you, they will make recommendations on everything from the food and beverage at your reception to the overall theme of your wedding, including flowers and decorations. They will even help you plan out and execute a plan for your reception. The great thing about these type of wedding consultants is that they have plenty of connections with a large number of vendors. With their vast knowledge, they’ll easily be able to find vendors that will fit within your budget.

The bottom line with a wedding planner is that they are on board to save you money with your vendors. While most do a very good job at this, there are those who steer you in a direction that includes a certain group of vendors that have paid the planner to get on their list of “approved” or “recommended” vendors. Some will even give a bonus to planners who send prospective couples their way. Even if your planner provides their referrals as a “free service” to you, you can be assured that the commission that is being paid by the vendor to your wedding consultant will be passed on to you via the vendor’s bill.

Your relationship with your wedding planner has to feel right from the word go. You have to trust them to turn your wedding vision into a reality, without leaving you stressed or feeling like you are not in control.

When choosing your planner, there are questions that you must ask to ensure that they are able co-ordinate your wedding with the level of service and decorum you expect.

Below I have set out the following list of questions that are a must in choosing your wedding planner.

How many weddings have they planned and can they provide testimonials and images from these weddings?

A good wedding planner will always have testimonials and images from previous clients at hand so they can prove that they have the skills, professionalism and experience to back up their wedding expertise.

Are they planning any other weddings on the same day or weekend?
Unless your planner is part of a large team or company who are capable of handling two weddings on the same day, they should not be involved in any other weddings that are the same day as yours. You are paying for their undivided attention on your wedding day, and that is what you should get!

Are they familiar with your venue?
An experienced wedding planner will usually have a good knowledge of wedding venues in their area, unless it is extremely unusual. If your planner has worked at the venue before, it can make communication with venue staff a much easier process.

    Does they understand your vision?
You will probably have a vision in your head about how your wedding will look, but not always the knowledge on how to create it! Your wedding planning should take the time to learn about you as an individual, and about your vision. A good wedding planner will listen to you and explain how they have interpreted your vision and how they will make it a reality.

Can they organise and co-ordinate other suppliers?
You might want your planner to organise everything from start to finish, or you may have already booked suppliers and simply want her to co-ordinate them in the run up to, and on your wedding day. Either way your planner should be able to take care of this for you. If they have a good knowledge of the industry your planner will be able to source the best suppliers for your style and budget.

How often should I expect communication with my wedding planner?
At the beginning of the planning process you should expect several meeting and communications from your planner as you organise all of the main parts of your day for example venue, catering etc. From then on your planner should be in regular contact with you, keeping you up to date on their progress. In the days leading up to your wedding, your planner should be in constant contact with you, ensuring that you are prepared and that everything is in place to allow the day to run smoothly.

Will they be there on the day?
If you want your wedding planner to be there on the big day then there should be no problem with this. A good planner will be there from first thing in the morning, until the celebrations are in full swing later that night. They should have a discrete presence throughout the day and be close at hand should you need them.

What will happen if for any reason my planner can’t come to the wedding?
From the beginning your planner should make it clear if they cannot attend your wedding. However if unexpected circumstances means that they cannot attend, a contingency plan must be in place. They should have a full brief, detailed running order for the day, and supplier contact details on hand to pass over to a colleague or member of their team in case the unexpected happens.

How much will it cost and when do I pay my wedding planner?
Wedding planners will all offer you their own individual pricing structure, whether is it a flat fee, hourly rate, or a percentage of the total bill. Make sure that you understand exactly what they are charging you for, and if there will be any hidden costs.

Most planners will ask for a deposit up front when you book their services. This is usually about 20% and will be used to secure other suppliers and purchase any bespoke items. If they are charging an hourly rate the balance is likely not to be due until after the wedding. If it is a flat fee or a percentage the balance will usually be due before your wedding so be prepared to pay for this up front.
